Form I-9 is a federal employment eligibility form. The employee completes Section 1, and the employer or an authorized representative completes Section 2. A notary seal is not placed on Form I-9. Please review your employer instructions before the appointment so we can confirm whether the employer wants an in-person authorized representative appointment.
I-9 Employment Verification Appointments
New Hire I-9 Review
This is the most common appointment type for a newly hired employee who needs an in-person review of original documents for Form I-9.
What to know:
- The employee must have original acceptable document(s).
- Section 1 is usually completed by the employee unless the employer gives different instructions.
- Timing matters because employers typically need Section 2 completed within 3 business days of the employee’s first day.
- Have any employer instructions provided for the appointment.
Authorized Representative I-9 Appointment
Some employers assign a local third party to complete the employee’s Form I-9 document review as an authorized representative.
What to know:
- We follow the employer’s written instructions when acting in that role.
- The signature is as an authorized representative, not as a notary on Form I-9.
- No notary seal is placed on Form I-9 itself.
- Employees are often told to find a “notary,” but the actual task is usually document review, not notarization.
Follow-Up or Employer Packet Appointment
Some I-9 appointments involve reverification, rehire updates, or extra employer forms included with the packet.
What to know:
- The employer should provide clear instructions for what needs to be completed.
- Some appointments involve a narrower review than a brand-new hire appointment.
- Extra forms may include representative forms, witness forms, or affidavits. Affidavits must be signed by the employee; the notary cannot notarize his or her own statement.
- If a separate notarization is requested for a different document, that is handled separately from Form I-9.
